Instructions for your upcoming Presentation/Talk at ISVLSI 2022

 

If you have not yet done so, please register for the conference following the information here . As a kind reminder, all papers that will be published in the Proceedings, have to have at least one full registration.

Below you can find some basic information regarding your presentations:

  1. Please upload your presentation slides (see below for details as to where and how) by June 27th. You are also encouraged to bring a copy of your presentation with you on a USB stick at the conference and if you need to update your slides, you can do so before the start of your session.
  2. The authors should make sure that the name of their uploaded presentation takes the form: paper_id_LastName.pptx, where id is their paper ID/submission number and LastName is the main author's last name. All power point or acrobat presentations will be checked and we will notify the presenters if there's a specific problem.
  3. In the same upload link, please upload a word/text file with your brief bio. Please name your bio file as "firstname_lastname.txt (or docx)"
  4. Please prepare your presentation using Microsoft PowerPoint or Acrobat PDF. Please format your slides for Widescreen (16:9) format if possible. At each session, there will be a computer supporting Microsoft PowerPoint and Acrobat PDF. Speakers will also be provided with a laser pointer.
  5. Each regular and special session paper will be allocated 20 minutes of presentation and 5 minutes Q&A with the audience.
  6. Poster speakers will be allocated a 4 minute plenary pitch talk (4 slides or less) which are also requested to upload by June 27th (see below for uploading details). After the pitch talks, there will be an interactive poster session. We will provide poster stands which can accommodate posters up to 120cm height x 90cm width ( 48H x 35W inches).
  7. Student Research Posters will also be allocated a 4 minute plenary pitch talk, with the poster presentation to follow. We will provide Poster stands which can accommodate posters up to 120cm height x 90cm width ( 48H x 35W inches).
  8. Research Demos will also be allocated 4 minutes plenary talk, and with the on-site demonstration to follow. If you are demonstrating, please contact us with any specific requests you may have so that we can provide you with the necessary equipment.


While the conference requires physical presence for all speakers, we understand that due to the pandemic or related travel disruption (i.e. visa issues) this may not be always possible. In these extraordinary cases, we will provide speakers with the option to present remotely. If you are falling under this category, please follow the instructions below carefully:

  1. Please inform the Program Chairs and General Chairs (even if you have done so informally to date) about this - you will need an official exemption to present remotely by the chairs so that IEEE includes your paper in the proceedings; else, IEEE reserves the right to consider your paper a no-show and withdraw it from the proceedings.
  2. Please prepare a pre-recorded video presentation of UP TO 20 minutes maximum. Video preparation instructions are given below.
  3. Please update your pre-recorded video presentation by June 20th (see below for upload link).
  4. In the same upload link, please upload a word/text file with your brief bio. Please name your bio file as "firstname_lastname.txt (or docx)"
  5. You will receive a Zoom link which you have to use to connect to the conference during your session (please check the program schedule on the website to see your session time). IMPORTANT: Times shown are in Eastern European Standard Time (EEST).
  6. During your session, please connect via the Zoom link. Your pre-recorded presentation video will be played at its allocated time slot, and after it finishes, you will be given the opportunity to answer live questions from the attendees via Zoom.
  7. If you are a poster presenter, a student poster presenter, or a demonstrator, please prepare your prerecorded 4 minute pitch video using the instructions below, and upload them to the (LINK). Please include a word/text file with your bio and name it as "firstname_lastname.txt (or .docx)".
  8. If you are presenting a poster, you will be given the opportunity to send the poster with a colleague and/or contact the conference secretariat at (synedrio@topkinisis.com) where we can arrange to print your poster and display it during the poster session.


Presentation and Video Upload Instructions (including poster and demo pitch videos)

All videos must be uploaded in the password-protected link, that you received via email, by June 20th, 2022 (for pre-recorded video presenations) and June 27th, 2022 for on-site presentation. If you have not received an email with the link and the password yet, please contact us at ttheocharides@ucy.ac.cy.

Requirements for Video Presentations

Video presentations can be prepared with any suitable software. A suggested option is the use of the Zoom software, which does not require a paid license for video recordings. Detailed instructions on video recording with Zoom can be found here. All video presentations should comply with the following requirements:

  • Duration: 20 minutes
  • File size limit: 400 Mb
  • File format: mp4
  • Minimum height: 480 pixels
  • Aspect ratio: 16:9
  • Filename: paper_id_LastName.mp4


* The authors should make sure that the name of their uploaded video presentation takes the form: paper_id_LastName.mp4, where id is their paper ID/submission number and LastName is the main author's last name. All video presentations will be checked for compliance at the time of submission; files not meeting the above requirements may be prevented from being uploaded, so please contact us if you have any issue.
